GDPR Compliance Statement
Last Updated: May 20th, 2026
The Together To Help Organization is dedicated to protecting the privacy, security, and fundamental data rights of our global community. We have established an ongoing data protection compliance program to fulfill the strict conditions of the European Union’s General Data Protection Regulation (GDPR) (Regulation (EU) 2016/679).
Even as a United States-based nonprofit, we recognize our responsibility to protect the personal information of European Union (EU) and European Economic Area (EEA) residents who interact with our website, donate to our programs, or volunteer for our global initiatives.
1. Our Commitment to Data Protection Principles
In accordance with GDPR Article 5, our internal data management structures ensure that personal data is always:
- Processed Lawfully, Fairly, and Transparently: We maintain valid legal bases for processing data and never conceal our tracking methods or intent.
- Limited to Explicit, Legitimate Purposes: Data gathered for one purpose (such as issuing a tax receipt) is never reused for independent operations (like automated marketing profiles) without distinct consent.
- Minimized to What is Necessary: We only collect the minimal required details needed to facilitate operations (data minimization).
- Kept Accurate and Up to Date: We provide straightforward methods for users to instantly rectify outdated files.
- Stored Only for as Long as Required: We enforce strict data lifecycle and retention limits.
- Protected with High-Level Security: We use technical safeguards to prevent unauthorized access, alteration, or data leaks.
2. Technical & Organizational Security Measures
To fulfill the accountability obligations of the GDPR, the Together To Help Organization implements the following physical and digital security architecture:
- Encryption Protocols: All data moving to and from our website is protected using end-to-end Secure Sockets Layer (SSL/TLS) encryption algorithms.
- Payment Security: We do not store raw credit card numbers or banking data on our local servers. All donation transactions are securely offloaded to third-party payment gateways certified under PCI-DSS compliance.
- Access Controls: Internal access to user, donor, and volunteer records is strictly limited on a “need-to-know” basis. Staff and volunteers are assigned specific software permissions to prevent data exposure.
- Data Mapping & Audits: We regularly map our organizational data flows to maintain an accurate Record of Processing Activities (ROPA).
3. Support for Data Subject Rights
We fully support the rights of EU citizens to control their personal data. To facilitate this, we have streamlined our intake systems to promptly handle requests regarding:
- The Right to Erasure (“Right to be Forgotten”): Deleting data upon request, unless restricted by statutory financial or tax recording obligations.
- Data Subject Access Requests (DSAR): Supplying a free, machine-readable export of all data points we hold about an individual within 30 days of validation.
- Consent Withdrawal: Providing an instant “one-click” unsubscribe option in every communication broadcast.

FERPA Compliance and Student Records Privacy Policy
Effective Date: May 19, 2026
Governing Law: Family Educational Rights and Privacy Act (FERPA), 20 U.S.C. § 1232g; 34 CFR Part 99
Applicability: All educational programs, academic workshops, tracking metrics, and tutoring initiatives managed by the Together To Help Organization.
1. Scope and Core Definition of Records
This policy applies strictly to any program where the Together To Help Organization maintains “Education Records.”
Education Records Defined: Any records, files, documents, or data points directly related to a student participant (e.g., academic progress reports, attendance sheets, behavioral assessments, and tutoring notes) that are maintained by the Organization or by a party acting on behalf of the Organization.
Age of Majority (“Eligible Students”)
Under FERPA, the legal rights regarding education records transfer directly from the parents to the student once the student reaches 18 years of age or enrolls in an institution of postsecondary education at any age. In this policy, individuals holding these rights are referred to as “Eligible Students.”
2. Core Rights Granted Under FERPA
The Together To Help Organization guarantees the following four fundamental rights to parents and eligible students:
I. The Right to Inspect and Review Records
Parents and eligible students have the right to inspect and review the student’s education records within 45 days of the day the Organization receives a formal written request.
- Procedure: Written requests must be submitted to [email protected], identifying the specific record(s) they wish to inspect. The Organization will make logistical arrangements for access and notify the parent or eligible student of the time and place where the records may be reviewed.
II. The Right to Request an Amendment
Parents and eligible students have the right to request an amendment to records that they believe are inaccurate, misleading, or otherwise in violation of the student’s privacy rights under FERPA.
- Procedure: To amend a record, the party must write to the compliance desk, clearly identifying the part of the record they want changed and specifying exactly why it is inaccurate or misleading.
- Hearing Rights: If the Organization decides not to amend the record as requested, it will notify the parent or eligible student of the decision and advise them of their right to a formal hearing regarding the request.
III. The Right to Consent to Disclosures
Personal identifiable information (PII) contained within student education records cannot be disclosed to third parties without the prior written, signed, and dated consent of the parent or eligible student, except to the extent that FERPA authorizes disclosure without consent.
IV. The Right to File a Complaint
Parents and eligible students maintain the right to file a formal complaint with the U.S. Department of Education concerning alleged failures by the Organization to comply with the requirements of FERPA.
3. Exceptions: When Disclosure is Permitted Without Consent
In accordance with federal law, the Together To Help Organization may disclose information from an education record without prior written consent under the following narrow exceptions:
- Organizational Officials with Legitimate Educational Interests: Internal staff, program directors, board oversight members, or contracted tutors who require access to the data to perform their specific professional tasks for the student.
- Audit or Evaluation: Authorized representatives of federal, state, or local educational authorities auditing or evaluating our federally funded educational programs.
- Health and Safety Emergencies: If knowledge of the information is strictly necessary to protect the immediate health or safety of the student or other individuals.
- Directory Information: The Organization may disclose basic “Directory Information” (such as a student’s name, participation in officially recognized activities, or honors received) without consent, provided that the Organization has given parents and eligible students prior public notice and the opportunity to opt out of such disclosures.
4. Public-Facing Annual Notification Text
🌐 Annual Notification of Rights Under FERPA
The Together To Help Organization fully complies with the Family Educational Rights and Privacy Act (FERPA). This federal law affords parents and students over 18 years of age (“eligible students”) certain rights with respect to the student’s education records maintained by our programs.
- Inspection: You have the right to inspect and review the student’s education records within 45 days of submitting a written request to [email protected].
- Correction: You have the right to request the amendment of education records that you believe are inaccurate, misleading, or in violation of privacy rights.
- Privacy: The Organization will not disclose personally identifiable information (PII) from your student’s education records to third-party entities without your prior written consent, except to the extent authorized under federal law (such as sharing with program staff who have a legitimate educational interest).
- Directory Opt-Out: The Organization designates student names and program participation as “Directory Information,” which may be shared publicly (e.g., in graduation programs or newsletters). Parents and eligible students have the absolute right to refuse the designation of this information by submitting a written opt-out notice to our administration.
